TAEKWONDO X TERMS AND CONDITIONS

These Terms and Conditions apply to the Taekwondo X website, memberships, classes, free trials, after-school clubs, holiday camps, gradings, competitions, events and purchases.

Please read them carefully before registering, purchasing or attending. Nothing in these Terms and Conditions affects your statutory rights under UK consumer law.

1. ABOUT TAEKWONDO X

The website www.taekwondox.co.uk and the Taekwondo X services described in these terms are operated by:

2. ACCEPTANCE OF THESE TERMS

By submitting a registration or booking form, purchasing a membership or other service, or attending a Taekwondo X activity, you confirm that you have read and accepted the terms applicable to that purchase or activity.

Where the student is under 18, the registration must be completed or authorised by a parent or legal guardian. The person completing the registration confirms that they have authority to act for the student and accept these terms on their behalf.

If these general terms conflict with specific information clearly provided on a booking or membership page, the specific information provided for that service will take priority.

3. MEMBERSHIP OPTIONS

Taekwondo X offers several types of recurring termly membership. The membership selected on the registration form determines the classes the student may attend.

Individual Class Membership

Individual Class Membership costs £120 per term and covers one selected weekly class. The complete academic-year programme includes 36 scheduled classes across three terms.

Full Syllabus Membership

Full Syllabus Membership costs £306 per term and covers three classes each week. Members attend two Technique and Poomsae classes on either Tuesday or Wednesday, according to the selected programme, together with the Thursday Sparring & Self-Defence class.

The complete academic-year programme includes 108 scheduled classes across three terms.

Unlimited Membership

Unlimited Membership costs £450 per term and allows the student to attend all regular Taekwondo X classes for which they meet the stated participation requirements.

Some classes have specific age, gender or other participation restrictions. Unlimited Membership does not include Little Kicks for students outside its stated age group, Women’s Self-Defence & Fitness for male students, or any class for which the student does not meet a clearly stated minimum-age requirement. It does not automatically include holiday camps, after-school clubs, grading fees, competitions, equipment, insurance, private lessons or separately priced events.

The maximum number of classes available through Unlimited Membership varies according to the student’s eligibility and the published timetable.

After-School Club Membership

After-School Club Membership costs £110 per term and includes 33 scheduled classes across the complete academic year.

After-School Club membership is available exclusively to pupils currently attending the participating school. A student who leaves the school may no longer be eligible to attend its club.

Prices and future changes

The price displayed on the registration form when the membership is purchased is the price that applies to that payment. If Taekwondo X proposes to change a recurring membership price, we will provide reasonable advance notice before the new price is collected.

A price change will not retrospectively affect a term already paid for. The member may cancel the next renewal before the changed price is collected.

4. HOW TERMLY MEMBERSHIP WORKS

The first membership payment is collected when the registration form is submitted. Further payments are collected automatically every four months from the first transaction date until the membership is cancelled.

Each automatic payment purchases membership for the relevant term. It is not a monthly instalment towards an annual debt, and there is no commitment to purchase a future term before its renewal payment is collected.

We will send an email reminder before each upcoming automatic payment. Payment information, renewal details and cancellation options can be accessed through the secure Taekwondo X Members Portal.

The customer is responsible for keeping their email address and payment information up to date. A reminder email failing to arrive because incorrect contact information was supplied, or because it was filtered by an email provider, does not by itself cancel the subscription.

5. ACADEMIC-YEAR CLASS TOTALS

The stated academic-year class total applies to the complete programme across all three terms. Classes are not necessarily divided equally between the Autumn, Spring and Summer Terms.

The number of classes in a particular term may vary because of the school calendar, bank holidays, venue availability, school activities, competitions, examinations and other scheduled events.

Each payment covers membership for the relevant term rather than a specific number of individual lessons.

If a membership is cancelled before all three terms have been purchased, there will be no retrospective calculation comparing the number of classes attended with a per-class value. The student is not entitled to additional lessons, credits or a partial refund solely because the terms they purchased contained fewer classes than another term in the complete academic-year programme.

Published academic-year totals refer to scheduled classes. A student’s personal attendance does not alter the applicable membership fee.

6. JOINING DURING A TERM

A student joining after a term has begun may receive a reduction on their first payment to reflect the remaining part of that term. Any introductory reduction applies only to the first payment unless expressly stated otherwise.

Subsequent automatic payments will be collected at the full termly membership price shown during registration.

7. CANCELLING A MEMBERSHIP RENEWAL

There is no commitment beyond the term already paid for. A customer may cancel the next renewal through the Taekwondo X Members Portal or by emailing info@taekwondox.co.uk.

Cancellation must be completed before the next payment is collected. Cancellation prevents the next scheduled payment and any later renewal payments from being collected. It does not normally reverse a payment that has already been processed.

After cancellation, the student’s membership remains active until the end of the term already paid for.

If Taekwondo X collects a renewal payment after a valid cancellation was received and processed in time, please contact us so that the payment can be investigated and, where appropriate, refunded.

8. STATUTORY CANCELLATION RIGHTS

Nothing in these terms limits any cancellation or refund right provided by law.

Where a consumer purchases a service online or through another distance-selling method, they will normally have a legal right to cancel within 14 days after the contract is made, unless an exemption applies.

If you expressly request that classes or another service begin during that 14-day period and then exercise a statutory right to cancel, Taekwondo X may deduct a proportionate amount for services already provided, where permitted by law.

To exercise a statutory cancellation right, send a clear statement to info@taekwondox.co.uk. You may use the model cancellation wording in section 26, but you are not required to do so.

Specific-date leisure activities may be treated differently under consumer law. Your statutory rights will always take priority over these terms.

9. MISSED CLASSES

Membership reserves the student’s place and access to the selected programme. Refunds, credits, transfers or replacement lessons are not normally provided when a student misses a scheduled class because of personal absence, illness, travel, other commitments or a decision not to attend.

A missed class cannot normally be carried forward into another term or transferred to another student.

10. CLASS CHANGES AND CANCELLATIONS

Taekwondo X may make reasonable changes to instructors, class content, rooms, times or timetables where operationally necessary. We will provide as much notice as reasonably possible when a material change affects a scheduled class.

If Taekwondo X cancels a class, we may provide a replacement class, alternative session, credit or appropriate refund. The solution will depend on the circumstances and the effect on the complete programme.

Where the advertised academic-year total is not delivered for reasons within Taekwondo X’s control and suitable replacement classes are not provided, we will offer an appropriate proportionate credit or refund.

Where disruption results from circumstances outside our reasonable control, including severe weather, emergency closure, public-authority action, loss of venue access, transport disruption or another serious event, we will take reasonable steps to provide an alternative arrangement. Your statutory rights remain unaffected.

11. PAYMENTS AND FAILED PAYMENTS

Recurring payments are processed by Stripe using the payment method connected to the subscription.

If a payment fails, Stripe or Taekwondo X may attempt to collect it again and may contact the customer to update their payment information.

Access to classes may be suspended if a payment remains outstanding. Suspending attendance does not prevent Taekwondo X from collecting a payment that was already properly due.

Taekwondo X will not deduct payment-processing charges from a refund where doing so would conflict with the customer’s statutory rights.

12. FREE TRIAL CLASSES

Each eligible new student is entitled to one free trial class only.

Submitting a trial form is a request and does not automatically confirm a place. The trial date and class must be confirmed by Taekwondo X before the student attends.

A waiting period may apply where classes are full or temporarily unsuitable for beginners because of grading, examination, competition or performance preparation.

After the free trial, the student must complete the applicable membership and insurance requirements before attending further classes.

13. INSURANCE

Students attending regular Taekwondo X club classes must hold the insurance and affiliation required by the club. The current annual charge is £30, unless a different amount is stated before purchase.

Insurance must be renewed when it expires. A student without valid required insurance may not participate in regular classes, gradings, competitions or other relevant club activities until the requirement has been completed.

It is the responsibility of the adult student, parent or guardian to ensure that the required insurance remains valid. Taekwondo X may provide reminders but cannot guarantee that a reminder will always be received.

After-school club students do not normally need to purchase separate insurance through Taekwondo X where the relevant arrangements are provided through the participating school.

14. HEALTH AND ADDITIONAL SUPPORT INFORMATION

The adult student, parent or guardian must provide complete and accurate information about any medical condition, injury, allergy, disability, neurodivergence, diagnosed learning difficulty, additional support need or other matter that may affect the student’s participation, safety or behaviour.

Taekwondo X must be informed promptly if this information changes.

Information should be provided so that instructors can make reasonable safety arrangements and offer appropriate support. Providing information does not guarantee that every requested adjustment can be made, but Taekwondo X will consider reasonable arrangements in discussion with the student or their parent or guardian.

Taekwondo X may pause participation while relevant information or a suitable safety assessment is obtained. Where appropriate, we may request medical clearance before allowing participation.

15. STUDENT CONDUCT

Students must:

  • follow reasonable instructions from Taekwondo X instructors and staff;
  • treat other students, parents, visitors and staff with respect;
  • use techniques and equipment only as instructed;
  • avoid behaviour that creates an unreasonable risk of injury, distress or damage;
  • follow the club’s safeguarding, safety, etiquette and venue rules;
  • respect the property of Taekwondo X, participating schools and other venues.

Parents and guardians are responsible for supporting their child’s compliance with these requirements and for providing relevant information that may help instructors manage participation safely.

16. SUSPENSION OR TERMINATION BY TAEKWONDO X

Taekwondo X may warn, suspend or remove a student where this is reasonably necessary because of serious or repeated misconduct, unsafe behaviour, bullying, harassment, damage, non-payment, failure to maintain required insurance, material non-disclosure of relevant safety information or another serious breach of club rules.

Where practical and appropriate, we will first discuss the concern with the adult student, parent or guardian and consider reasonable ways to resolve it. Immediate suspension or removal may be necessary where safety or safeguarding is at risk.

Any refund following termination will be considered fairly in light of the circumstances, services already provided, losses reasonably incurred and applicable consumer law. This provision does not permit Taekwondo X to impose an excessive penalty or retain money where doing so would be unlawful or unfair.

17. UNIFORM AND EQUIPMENT

After the first trial lesson, students attending regular club classes must wear the approved Taekwondo X uniform unless an instructor has agreed otherwise.

Taekwondo is normally practised barefoot. Students must follow instructor guidance relating to clothing, jewellery, personal equipment and safety.

Only approved sparring equipment may be used for contact sparring. Students without the required complete sparring equipment will not be permitted to take part in contact sparring, although a suitable non-contact activity may be provided.

18. GRADINGS, COMPETITIONS AND EVENTS

Grading, competition, demonstration and event fees are normally separate from class membership unless expressly stated otherwise.

Eligibility to participate may depend on attendance, grade, preparation, equipment, insurance, behaviour, age or rules imposed by an external organiser. Payment does not override an instructor’s reasonable safety or eligibility decision.

If a participant wishes to cancel, at least 72 hours’ notice should be provided. Where less notice is given or the participant does not attend, a refund may not be available if Taekwondo X has already incurred non-recoverable costs or cannot reasonably reallocate the place.

If Taekwondo X or an organiser cancels an event, the available refund, credit or rescheduling arrangement may depend on the amount recovered from the organiser. Your statutory rights remain unaffected.

19. HOLIDAY CAMPS

Holiday-camp bookings apply to the dates and attendance option selected during registration.

To request cancellation, email info@taekwondox.co.uk as soon as possible. Where at least seven days’ notice is received before the camp begins, Taekwondo X will normally provide a refund or credit, subject to any costs already reasonably and irrecoverably incurred.

Where less than seven days’ notice is received, a refund may not be available if the place cannot reasonably be filled or Taekwondo X has incurred costs connected with the booking. We will not retain an amount greater than the loss reasonably resulting from the cancellation.

No refund is normally provided for individual camp days missed because of illness, lateness, travel or personal circumstances, although exceptional situations may be considered individually.

20. GOODS, UNIFORMS AND EQUIPMENT

Goods must be as described, of satisfactory quality and fit for their intended purpose. Your statutory rights relating to faulty or misdescribed goods are unaffected.

For most goods purchased online, you normally have 14 days after receiving the goods to notify us that you wish to cancel, followed by a further 14 days to return them.

Unless the goods are faulty, you are normally responsible for the direct cost of returning them. We may make a lawful deduction if goods have been handled beyond what is reasonably necessary to inspect them and their value has been reduced.

Goods that are personalised, made to order or otherwise legally exempt may not qualify for change-of-mind cancellation. Any applicable exception will be explained before purchase.

21. PHOTOGRAPHY, VIDEO AND CCTV

Photography, filming and CCTV are handled in accordance with the Taekwondo X Privacy Policy.

Taekwondo X may take and use proportionate photographs and recordings from classes, performances and other activities to document and promote the club, subject to the privacy safeguards described in the Privacy Policy.

CCTV operates at the Taekwondo X premises for safety, security and safeguarding purposes.

22. ASSUMPTION OF RISK AND RESPONSIBILITY

Taekwondo and physical exercise involve an inherent risk of accidental injury. Students must train responsibly, follow instructions and inform an instructor if they feel unwell, injured or unable to perform an activity safely.

Taekwondo X will provide services with reasonable care and skill. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any other liability that cannot legally be excluded.

Taekwondo X is not responsible for loss or damage that could not reasonably have been anticipated when the contract was made, or for loss caused by the student’s failure to follow reasonable safety instructions, except where the law provides otherwise.

Personal belongings are brought to classes and events at the owner’s risk. This does not exclude responsibility where loss or damage is caused by Taekwondo X’s negligence.

23. WEBSITE USE AND INTELLECTUAL PROPERTY

The Taekwondo X website and its text, graphics, branding, photographs, videos, design and other original content are owned by or licensed to Taekwondo X.

Website content may be viewed and printed for personal, non-commercial use. It may not be copied, republished, sold, distributed or commercially exploited without permission, except where permitted by law.

The website may contain links to services operated by other organisations. Taekwondo X is not responsible for the content, availability or privacy practices of external websites.

We take reasonable steps to keep the website accurate and available but cannot guarantee uninterrupted or error-free access.

24. PERSONAL INFORMATION

Personal information is collected and used as described in the Taekwondo X Privacy Policy. By providing information, you confirm that it is accurate to the best of your knowledge and that you are authorised to provide it.

25. CHANGES TO THESE TERMS

Taekwondo X may update these terms to reflect changes in law, services or operating arrangements.

A change will not retrospectively remove rights relating to a term or service already purchased. Where a material change affects an active recurring membership, reasonable advance notice will be provided and the customer may cancel the next renewal before the change takes effect.

27. COMPLAINTS

If you are dissatisfied with a Taekwondo X service or believe a payment has been taken incorrectly, please contact info@taekwondox.co.uk so that we can investigate and seek an appropriate resolution.

28. SEVERABILITY

If any provision of these terms is found to be unlawful or unenforceable, that provision will be treated as removed or limited to the minimum extent necessary. The remaining provisions will continue to apply.

29. GOVERNING LAW

These terms are governed by the laws of England and Wales. The courts of England and Wales will normally have jurisdiction, but nothing in this section removes any right a consumer may have to bring proceedings in another part of the United Kingdom where applicable.
